WorldCat refer to FirstSearch


Searching in FirstSearch and sending detailed WorldCat MARC records to Library Resources

Monographic items do not need to be sent to Library Resources only the printed MARC record, Table of contents, Books in print and NoveList (fiction only).

Exception: All multimedia materials still need to be sent to Library Resources for review along with the detailed documentation. This includes the book with sets, Books on tape/CD.


1. First in Workflows, search for the item. If the exact record is found in Workflows, follow the procedure in bulletin 13.

2. If a record is not found in Workflows, search in the database WorldCat.

3. If an exact record is not found in WorldCat, send the item to Library Resources.
Important: Make sure your barcode number is on the item.

d. If the exact record is found in WorldCat, continue to Step 1.

Step 1
Provide Library Resources with the printed WorldCat MARC record to be reviewed by the cataloger. A MARC record will be created in Workflows for the item.

Total print outs to send 3+ -, (1) WorldCat MARC record, (2) Table of contents, (3) Books in print, (4) NoveList (Fiction only). Refer to NoveList for instructions.

a. When the Workflows MARC is created the school's name and item barcode are entered.

b. Library Resources will e-mail notification to the librarian when record is in Workflows.

Note: If you have a message for the cataloger, convey that on the WorldCat MARC printout.
Examples would be, a request for an item to be Reference.

To look for the detailed record:
1. On the FirstSearch log in screen, enter:
a. Authorization code: 100225124
b. Password: FAN!AWASH
2. Search window opens, Figure 1

Do NOT start your search from this screen. Searching here limits your results to only Alaska.

a. - Click on the arrow at the end of the Search in database: and change ALNcat to WorldCat. Figure 2

b. - In the ISBN data well type in the ISBN of the book. If there is no ISBN, search the material by title, author, etc.
If more than one record is found for the ISBN number that you are searching for, each record needs to be scrutinized carefully to be sure the correct information is sent to Library Resources.
 
c. - If the Detailed record has the statement: "FirstSearch indicates your institution owns the item" that means the record should already be in Workflows. Figure 3
Please check Workflows again.

Step 2
Print the (1) Detailed Record, Figure 3 and the tabs, (2) Table of Contents **, (3) Books in print, (4) Novelist (Fiction only).

(1) - Print - Detailed WorldCat MARC record
a. Write your barcode or copy the barcode and attach on the WorldCat MARC print out.
b. Write
two-letter school code on the WorldCat MARC print out.

(2) - Print - Table of contents.** Figure 4.

**Note: Library Resources is requesting one table of contents. The table of contents may be on the detailed MARC record or on the tab, Table of Contents and or a 3rd choice is from the book and should be copied and sent. The great advantage of the effort to add 505 contents is for students doing research on a particular subject. An example would be a collective biography which has information about many different people, if all those names are noted in the 505 contents field that biography would be retrievable.

Note:
Clicking on the link, More About This In: Books in Print (Publication status and optional reviews) Figure 5, takes you to another version of the same MARC record.. If this link is available, please include, the print out provides useful information for catalogers.

(4) - Print - NoveList, Fiction only. Refer to NoveList instructions.

Step 3
At the school:
a. Review Workflows MARC record for the call number and for spine label information.
b. Item type
c. Home location
d. Price of item

Note: Additional details may need to be added as site preference determines.

e. Notify Library Resources when you receive physical items back. Use the e-mail notification originally sent by Library Resources as a quick method of return receipt mail.
 
REMINDER: WorldCat printouts will automatically be returned if the following situations occur:
Printouts without barcodes
Printouts that show a missing collation in the 300 tag
Printouts that come for multimedia MARC without the actual item
Printouts that come without the attached: table of contents, Add/View comments tab print out, and Books in print, will cause delays. Ruth Jean may notify the librarian via e-mail that something is missing and ask you to submit additional documentation.

 
Note: Excerpts, are NOT to be included with your WorldCat printout.
The excerpt does not contain appropriate material for cataloging. Ignore the Excerpt tab and do not print out.

Do your part and provide WorldCat printouts, with the Table of contents, Books in print and Novelist, fiction only.

  • Open FirstSearch
  • At the log in window
  • Right click on the URL icon in upper left corner and drag to your desk top
